This multimedia onboarding project demonstrates an innovative approach to simplifying and accelerating the new hire experience while maximizing stakeholder efficiency. It reduced onboarding time from two days to as little as one hour while improving clarity, consistency, and user experience, fostering a positive start for new hires and enhancing efficiency for HR professionals.

The Problem
The original onboarding process burdened HR staff with up to two full days of administrative tasks per new hire. The process was manual, fragmented, and plagued by inefficiencies:

I designed a centralized, user-friendly onboarding system housed within an LMS, integrating automation, eLearning modules, and interactive tools. This solution was:

The system centralized onboarding resources in a SharePoint site, personalized content based on role and department, and used Power Automate to assign tasks and approvals. This approach improved process transparency, reduced HR’s administrative workload, and created a consistent onboarding experience.

1. Stakeholder Collaboration

2. Process Simplification with Automation
Before Automation: Imagine receiving a form with incomplete details in your inbox. Tasks are vaguely defined, ownership is unclear, and multiple physical signatures are required. Stakeholders often scrambled to find missing information and determine their responsibilities.
After Automation: By centralizing data in a SharePoint list and integrating approval flows:
Each stakeholder receives a customized notification detailing only the tasks they are responsible for.
Approval flows act as virtual signatures, providing real-time updates and eliminating the need for paper-based processes.
Managers and stakeholders can monitor task progress instantly via the SharePoint list, ensuring full visibility and accountability.
3. Interactive Learning Design
Developed an Articulate Storyline 360 calendar simulation to train HR staff on scheduling effective synchronous meetings.
Created engaging eLearning modules to support SME coaching, enabling mentors to focus on high-value activities.
4. Feedback-Driven Iteration
Conducted follow-up interviews with new hires and stakeholders to collect insights.
